SCOTT GROUND FLOOR FACILITIES & WORKSHOPS
TERMS & CONDITIONS
The following terms and conditions must be read
and understood prior to any equipment being loaned from the Media Hub. Failure
to present your card on collection will result in the inability to access your
booking. (No Student Card = No Equipment)
GENERAL TERMS
All loaned equipment MUST be checked on collection and returned by the borrower and a
member of the technical team. All damages must be indicated and
noted.
- Equipment must be returned in the
condition it has been issued.
- Equipment must not be left
unattended unless left in a locked and secure room. Vehicles are not
classified as safe or secure places, please refrain from leaving equipment
in these environments.
- Equipment is only to be used for
approved University work or programme modules.
- Equipment should only be collected
once a booking confirmation has been received via an email to your
University email address.
- Maximum booking length for all equipment is 72 hrs without consultation with the technical team and
an academic. An extension of your booking can be granted at the Media
Hub, if a shooting schedule or roster can be provided, or the activity or
process requires a larger proportion of time to achieve the desired
result.
- Equipment must not be taken abroad
without a valid insurance policy to cover the loan period. A copy of your
policy will be required by the Media Hub Team prior to booking any
equipment for overseas use.
- Any loss or damage must be
reported to the Media Hub, responsibility must be taken for repair or
replacement of the item(s).
COLLECTION
All equipment bookings must be collected
within 30mins of the stated
collection time. All failed collections will be reissued back to stock for
others to access. All Studio bookings must be collected within 30
minutes of the stated collection time. All failed collections will be
reissued back to stock for others to access.
SUSPENSIONS
All bookings must be returned before the stated
time agreed when loaning any equipment. Late returns will incur a suspension
for 1 week (7 days). No access to resources or facility will
be permitted during a suspension period.
Any damage as a result of poor
use to a resource or facility will be suspended until the matter has been
resolved with the School Technical Management and an agreement of
repayment has been identified.
Please be aware that suspensions are not here to
obstruct, but to protect those who require the resources and facilities that
are needed by offers. This is part of our drive for professional development.
BREAKAGES
& LOSES
Any loss or damages must be reported to the Stores immediately and responsibility must be taken for repair or
replacement of the item.
If an item is lost or damaged, access to the workshop maybe
restricted, until an authorised agreement to repay the balance or replace the
item has been agreed with the School Technical Manager.
TRAINING
Inductions maybe required prior to access of any
specialist resources or facilities. This is to ensure safe and proficient use
of resources / facilities are conducted and any Health & Safety training is
provided.
To attend MODULE inductions, your programme
leaders or tutors will make the appropriate arrangements.

Certain resources may be held exclusively for
stage 2 or 3 access. This is to allow specialist enhancements in training and
delivery during further levels of study.
HEALTH & SAFETY
- Health & Safety procedures
must be followed with ALL items of equipment or
resources.
- Induction that require the safe
use of equipment will be scheduled as part of any induction that requires
a H & S briefing during inductions. Students cannot book equipment
until these inductions have been attended and signed off by a Technical
member of the team.
- All equipment is Portable
Appliance Tested (PAT tested) and are visually checked on check out and restock
of any electrical items.
- (Brunel) Students
are required to bring appropriate PPE (googles, masks) and to
wear suitable clothing and footwear within the workshop environment.
- A Risk Assessment will
be required for any specialist media equipment or facility that
requires field or location work and where risk or injury is likely in the
event of the borrower or the crew using the resources for any practical tasks.
The Risk Assessment must be related to the task associated with the loan
and not just the equipment. This is part of your professional development
and will be a mandatory field during any loan of all resources associated
with fieldwork.
INSURANCE
- Public Liability cover is provided for work and
projects conducted by the University of Plymouth. Please be aware that cover is
only given if we have reduced or controlled any mitigating Risks and Hazards.
This must be captured in a Risk Assent and associated with the activity when
making a booking.
- Equipment Insurance. We are only covered for
high priced resources housed in our facilities as the University has an excess
of £5,000.00 for items exceeding this.
Small items are not covered by insurance, so we recommend that high risk field
work and other activities conducted, a separate insurance policy should be
sourced.
- Equipment Insurance Abroad. Equipment must not be
taken abroad without a valid insurance policy to cover the loan period. A copy
of your policy will be required by the Media Hub Team prior to booking any
equipment for overseas use

As a user of this system registered or otherwise you agree that if for any reason you are unable to use smarthub for the intended purpose then you will contact your store via telephone, email or in person to resolve the problem. SiSo Software Limited are not responsible or liable in any way for any errors, damages or any other loss caused by your usage of this system. For the avoidance of doubt this includes any loss howsoever suffered including negligence or fraud except where such negligence causes death or personal injury.
